Leads

Capture, qualify, and convert inbound interest into accounts, contacts, and deals.

Leads

Leads are people who have shown interest but are not yet a client. They sit before accounts and deals: a lead is qualified first, then converted into the records the rest of Kestrio uses.

Open CRM > Leads from the main sidebar, or go to /leads. Lead statuses are configured at /settings/lead-statuses.

Leads require the CRM leads feature on your plan and are subject to a leads quota. See Billing and Subscription.

What a Lead Contains

FieldMeaning
NameThe person who made contact.
CompanyThe organization they represent, before an account exists.
Email and phoneContact details captured at enquiry.
SourceWhere the lead came from — form, referral, campaign, or manual.
StatusWhere the lead sits in your qualification process.
OwnerThe person responsible for following up.
NotesQualification context and call history.

Lead Statuses

Statuses are yours to define at /settings/lead-statuses — a small agency and an enterprise sales team qualify differently, so Kestrio does not impose a fixed pipeline.

Each status has a name, an order, and a colour used on the board and in views. Reorder them to match how your team actually works.

Converting a Lead

Conversion is the point where a lead becomes real records. It can create, in one step:

  • an account for the company,
  • a contact for the person, and
  • optionally a deal, via the "Also open a Deal" toggle.

The resulting deal links back to the lead it came from, so the origin of the work stays traceable after conversion.

Convert only once you are confident the company is real. An account created from a bad lead has to be cleaned up manually afterwards.

Common Workflows

Add a Lead

  1. Open Leads.
  2. Select New lead.
  3. Enter the person, company, and contact details.
  4. Set a status and owner.

Qualify and Progress

  1. Open the lead.
  2. Update status as the conversation moves.
  3. Record what you learned in notes.

Convert to a Client

  1. Open a qualified lead.
  2. Select Convert.
  3. Choose whether to open a deal at the same time.
  4. Confirm.

Where Leads Fit

Leads → Accounts and Contacts → Deals → Quotes → Projects.

A lead is the only one of these that is not yet a commitment on either side. Everything downstream assumes a real client organization exists.

Permissions

Viewing and editing leads follows your CRM permissions. If Leads is missing from the sidebar, either your plan does not include the feature or your role does not grant CRM access — ask an administrator to check both.
