Views and Data Tables
Work with searchable tables, filters, sorts, grouping, saved views, formulas, aggregates, and conditional formatting.
Views and Data Tables
Many Kestrio modules use a shared data table experience for lists such as projects, tasks, invoices, approvals, users, roles, rate cards, and reports.
What You Can Do
Depending on the page and your permissions, data tables may support:
- Search.
- Column visibility.
- Sorting.
- Advanced filters.
- Grouping.
- Inline edits.
- Saved views.
- Conditional formatting.
- Formula columns.
- Aggregates and totals.
- Bulk edit and bulk delete.
- Export CSV or TSV.
- Row actions.
- Compact or comfortable density.
- Page sizes of 25, 50, 100, or 200.
Filters
Filters let you narrow a list using conditions such as:
- Equals or does not equal.
- Contains, starts with, or ends with.
- Greater than, less than, or between.
- Is empty or is not empty.
- Within date presets such as today, this month, last 30 days, or next 7 days.
Use filters to create operating views like:
- Active projects at risk.
- Overdue high-priority tasks.
- Pending invoices.
- Expenses awaiting approval.
- Team members with a specific skill.
Saved Views
Saved views preserve your table setup.
| Scope | Who can see it |
|---|---|
| Personal | Only you. |
| Team | Members of the selected team. |
| Organization | Everyone with access to that module. |
Saved views can include filters, sort order, visible columns, page size, formatting, aggregates, and formula columns.
You can set one personal default and one organization default per list. Some lists also have a Show completed items toggle.
Formula Columns
Formula columns calculate derived values from other columns in the table.
Examples:
- Budget remaining.
- Margin percentage.
- Days until due.
- Risk score.
A view can have up to 10 formula columns. Results can be number, text, boolean, or date. Formula columns are view-specific and do not change the underlying record.
Aggregates
Aggregates summarize loaded rows. Common aggregates include:
- Sum.
- Average.
- Minimum.
- Maximum.
- Median.
- Count.
- Count filled or empty.
- Count unique.
Aggregates are useful for reviewing totals such as logged hours, invoice value, expense totals, or resource allocation.
Conditional Formatting
Conditional formatting highlights rows or cells that match a rule.
Examples:
- Red for overdue items.
- Amber for at-risk projects.
- Green for completed work.
- Blue for upcoming milestones.
Styles include red, amber, yellow, green, blue, violet, and slate. Use formatting for scanning, not as the only source of truth.
Bulk Actions
On lists that support it:
- Select rows, or select all matching the current filter.
- Change a field, or delete.
- Confirm the result.
Bulk delete soft-deletes matching rows you are allowed to change. Export uses the current filter and can download CSV or TSV.
Inline Editing
Some tables allow inline editing. Changes follow the same permissions and validation rules as the detail pages.
If an inline value cannot be changed, check:
- Your permission role.
- The record status.
- Required fields.
- Approval or billing locks.
