Quotes

Build, price, and send a formal offer, then track it through to acceptance.

Quotes

A quote is a priced offer built from line items. Most quotes are built from a deal, but a quote can also stand alone with no deal attached. Accepting a quote is what allows a Statement of Work or Contract to be generated from it.

Open CRM > Quotes from the main sidebar, or go to /quotes. Quotes are also reachable from a deal's Quotes tab.

What a Quote Contains

A quote can include:

  • Account, and optionally a linked deal.
  • A primary flag, when it belongs to a deal with more than one quote.
  • Line items.
  • Total amount.
  • Valid-until date.
  • Statement of Work.
  • Contract.
  • PDF and email delivery.
  • A change-history log.

Quote Fields

For exact required fields, accepted values, and relationships, see Deals and Quotes Field Reference.

FieldMeaning
Quote numberAuto-generated, sequential identifier (e.g. Q-000001).
DealThe deal this quote was built from, if any. Optional.
PrimaryWhether this is the deal's current, active quote, when it belongs to a deal.
StatusWhere this quote is in its lifecycle.
Valid untilThe date this quote's pricing expires.
Total amountSum of all line items, calculated automatically.
Signed dateA manual field for recording when the client signed — not set automatically on acceptance.

Quote fields and line items are only editable while the quote is Draft or Revisioning. Once it's Sent or beyond, it locks — the same editable-status pattern used by Statements of Work and Contracts.

Quote Status

StatusMeaning
DraftBeing built, not yet sent.
SentDelivered to the client, awaiting a response.
RevisioningBeing revised after being sent.
AcceptedThe client has accepted the quote.
RejectedThe client declined the quote.
ExpiredMeant to represent the quote's valid-until date passing unanswered — set manually, not detected automatically.
ApprovedSystem-set once the quote has a signed Statement of Work or active Contract. Unrelated to the general Approvals system, and a dead end — no further status change is possible from here.
ClosedNo longer active.

Line Items and Pricing

Quotes share the same line-item editor used on deals, statements of work, and contracts. Each line has a charge structure — Time & Materials, One-Time Fixed Price, Pass-Through, or Recurring — that determines how it's priced. See Product Catalog and Line Items for the full breakdown.

For quotes with several Time & Materials or One-Time lines, the Line Item Matrix tool splits billable work across multiple providers at once, instead of editing each line individually.

Common Workflows

Create a Quote

  • From a deal — see Deals's "Quote a Deal" workflow for the two ways to bring a deal's line items into a quote.
  • Standalone — open Quotes, create a new quote, and leave the deal field set to "None (Standalone Quote)." Useful for a quote that isn't tied to a specific deal.

Once created, review and adjust line items, pricing, and discounts, then set a valid-until date.

Send a Quote

  1. Open the quote.
  2. Review the total and line items.
  3. Send it to the client, or generate the PDF/email directly from the quote's Email or PDF tab.

Turn an Accepted Quote into a Statement of Work or Contract

  1. Open the accepted quote.
  2. Go to the SOW tab or Contract tab.
  3. Create a new Statement of Work or Contract from the quote's line items.
  4. Continue in Statements of Work and Contracts.

Once that document is signed (SOW) or active (Contract), the quote's own status automatically becomes Approved — this is what allows the document to be linked to a delivery project.

Permissions

Quote visibility and actions depend on your role. If you cannot see or edit a quote, ask an administrator to review your permissions.
