Product Catalog and Line Items
Reusable sellable products and services, and the four charge structures used to price them on deals, quotes, and contracts.
Product Catalog and Line Items
The product catalog is a reusable library of sellable products and services. Line items are what actually price a deal, quote, Statement of Work, or Contract — they can be added freehand or pulled from the catalog for consistent pricing and naming.
Navigation
Open Settings > Product Catalog, or go to /settings/product-catalog, to manage the catalog. Line items are added directly on a deal, quote, SOW, or contract's Line Items tab.
Charge Structures
Every line item and catalog product has a charge structure, which decides how it's priced:
| Charge Structure | What it's for | Priced by |
|---|---|---|
| Time & Materials | Work billed by the hour. | Estimated hours × billable rate. |
| One-Time Fixed Price | A fixed-fee deliverable. | A single fixed amount. |
| Pass-Through | A cost passed on to the client, with an optional markup. | Base cost × (1 + markup %). |
| Recurring | A subscription or retainer billed on a repeating schedule. | Recurring price, normalized to a monthly rate, × the contract term in months. |
An in-app Charge Structure Guide — the info icon next to "Charge Structure" wherever you see it — explains each option with examples.
Recurring Billing Details
Recurring line items also carry:
| Field | Meaning |
|---|---|
| Billing frequency | Monthly, quarterly, semi-annually, or annually. |
| Contract term | How many months the recurring commitment runs for. |
Line Item Pricing Details
Each line item also carries:
- Discount — a percent discount, applied per line.
- Cost and provider — who's delivering the work: an in-house user or job role, or an outside vendor, with an optional cost override and free-text notes. Pass-Through lines use this space for the base cost and vendor/receipt notes instead.
- Margin — shown alongside cost, calculated automatically from the line's sell price and cost.
- Product Group — which catalog group this line rolls up to, independent of the product's own default group.
Product Catalog
Catalog products carry the same charge-structure fields, plus:
- Name, code/SKU, category, and a secondary description (for terms, SLAs, or specs beyond the main description).
- Default cost, selling price, unit, and default line quantity.
- Default charge structure and its related defaults (recurrence interval, contract term, or markup), pre-filled onto any line item created from this product.
- Default sales and purchase tax codes.
- A "Consider Suppliers as In-House Services" toggle, for outsourced work you want reported as internal delivery cost.
- An "Exclude from Overall Discounts" toggle, so document-wide discounts skip this product — only a manual, line-level discount can apply to it.
- A product info / spec sheet URL.
- Active/inactive status — inactive products are hidden from new documents but stay intact on existing ones.
Catalog products can be created from Settings, or added directly while pricing a deal or quote using Quick Add Product / Service to Catalog.
Product Groups
Products can be organized into groups, with optional sub-groups under a parent, managed from the same Settings page. Grouping is for organization and filtering in the catalog list — a line item can also be reassigned to a different group independent of its source product's own default.
Common Workflows
Add a Line Item
- Open a deal, quote, SOW, or contract's Line Items tab.
- Add a line, either freehand or from the product catalog.
- Choose a charge structure and fill in its pricing fields.
Price Multiple Providers at Once
For Time & Materials or One-Time lines, use the Line Item Matrix to split billable work across several providers in one pass, instead of editing each line individually. Recurring and Pass-Through lines aren't eligible, since they don't represent a pool of billable units to split.
Create a Quote from Selected Line Items
- Open a deal's Line Items tab.
- Select the line items to quote.
- Create a quote from the selection. The deal's originals are untouched; the quote gets its own independent copies.
Permissions
Managing the product catalog requires a role with product catalog permissions. Adding line items depends on your access to the deal, quote, SOW, or contract they're on.
